How to make a funnel chart from a Notion CRM

Notion's chart block has no funnel among its chart types. This guide starts with the closest chart Notion does draw, then shows the one property a Notion CRM needs for an honest funnel, and how to draw it in ChartOmodo.

What a funnel chart needs from your data

A funnel draws one band per stage, widest at the top. It reads correctly only when each stage holds no more than the stage before it: every deal that reached Proposal also passed through Qualified, and every deal in Qualified started as a Lead.

Most Notion CRMs keep one Stage property per deal, a select or a status. Counting deals by that property tells you where deals sit today, not how many passed through each stage. Those counts often do not narrow: ten deals can sit in Proposal while four wait in Lead. Drawn as a funnel, those numbers would suggest a conversion that never happened.

So a Notion CRM answers two different questions, and each has its own chart:

  • Where do deals sit now? Count deals by their current Stage and draw bars. Notion can draw this one.
  • How many deals reached each stage? That is the funnel, and it needs one more property, set up below.

In Notion: a horizontal bar chart by stage

Notion’s chart help page lists its chart types:

“Vertical bar chart, Horizontal bar chart, Line chart, Donut chart or Number chart”

A funnel is not on the list. The closest is a horizontal bar chart grouped by Stage, counting deals. Select and status properties are not among the properties Notion keeps off an axis:

“Your X and Y axes won't be able to show rollups, buttons, unique IDs, files and media, or formulas resulting in a list of outputs.”

For “where do deals sit now”, that chart is often enough, and it stays inside Notion. The sales pipeline example answers the same question with a sorted bar chart and sample data you can hover. Keep in mind that Notion’s Free plan includes 1 chart, so on Free this may be the only chart in your workspace.

Add a Stages reached property

Add a multi-select property to the CRM database named Stages reached, with one option per stage, for example Lead, Qualified, Proposal, Negotiation and Won.

When a deal moves forward, add the new stage to its Stages reached and keep the earlier ones. A deal in Proposal carries Lead, Qualified and Proposal. A lost deal keeps the stages it reached, so it still counts in every stage it got through, which is exactly what a funnel measures.

ChartOmodo counts a row once under every tag it carries. Grouping by Stages reached therefore counts, for each stage, the deals that got at least that far, and the counts narrow on their own. Deals already in the database need the property filled in once, from what you know about each of them.

A deal with no Stages reached shows up as its own band named Empty. Add a filter on Stages reached with Is not empty to leave those deals out.

Draw the funnel in ChartOmodo

ChartOmodo is a Notion integration: it reads the database through Notion’s API, draws the chart, and you paste it into a Notion page as an embed block. Funnel charts start on the Pro plan.

  1. Create an account, open Data sources and connect Notion. On Notion’s screen, share only the CRM database.
  2. Open the database in the builder and choose Funnel.
  3. Set X-axis (category) to Stages reached.
  4. Set Aggregation to Count to count deals. To weigh each stage by money, set Y-axis (value) to the deal value property and Aggregation to Sum.
  5. Copy the embed link, type /embed in the Notion page where your team reviews the pipeline, and paste it.

How the stages are ordered

ChartOmodo draws a funnel largest stage first, whatever order the rows arrive in, and prints each stage’s number on its band. With Stages reached, that is your pipeline order, because no stage holds more deals than the one before it. Two stages with the same count can trade places. If a stage ever shows up higher than it belongs, a deal is missing one of its earlier tags.

Narrow it down with filters

  • For one period, add a filter on a date property of the deal, such as the day it was added, with In the last or Is between.
  • For one salesperson, add a filter on the owner property with Equals and their name.
  • Keep lost deals in. Without them the funnel only follows the deals that are open or won, and every stage looks like it converts better than it does.

Reading conversion from the funnel

The rate from one stage to the next is the second count divided by the first. If 30 deals reached Qualified and 12 reached Proposal, 40 percent of qualified deals got a proposal. ChartOmodo prints each stage’s number; it does not print the rate between stages, so work it out from the two numbers.

Which chart to use

  • The bar chart, in Notion or in ChartOmodo from the Free plan, when the question is where deals sit today.
  • The funnel, from the Pro plan, when the question is how deals move through the stages and you keep Stages reached up to date.

Both ChartOmodo charts refresh on their own: each re-reads the database on a timer set by your plan, sooner when Notion reports an edit, so a deal you move shows up after the next refresh. Questions

Can Notion's built-in charts draw a funnel?

No. Notion's help page lists its chart types as "Vertical bar chart, Horizontal bar chart, Line chart, Donut chart or Number chart". A horizontal bar chart grouped by stage is the closest.

Why does my funnel show the stages in the wrong order?

ChartOmodo draws a funnel largest stage first. If you count deals by their current stage, a later stage can hold more deals than an earlier one, and it moves up. Count by a Stages reached multi-select instead, so each stage holds the deals that got at least that far.

Should lost deals be in a sales funnel?

Yes. A lost deal still passed through the stages it reached. Leaving it out makes every stage look like it converts better than it does.

Can the funnel show deal value instead of the number of deals?

Yes. Set Y-axis (value) to the deal value property and Aggregation to Sum. Each stage then shows the value of the deals that reached it.

Which ChartOmodo plan includes funnel charts?

The Pro plan and up. Bar charts, which answer where deals sit today, start on the Free plan.

Does the funnel update when a deal moves to the next stage?

Yes, on its own. Each chart re-reads its database on a timer set by your plan, sooner when Notion reports an edit or someone presses Refresh data on the embed.
